JOB TITLE: Executive Assistant, Receptionist and Secretary to the Board of Directors

BASED: San Francisco

POSITION REPORTS TO: Executive Director

JOB PURPOSE: Administrative support to the Executive Director. Represents the Executive Director within the internal organization as well as providing liaison functions regarding the Board of Directors. Secretary to the Board of Directors is responsible for all administrative management to the Board and Committees, including events. Receptionist duties to provide support to the overall organization.


  • Carry through various projects, and specific duties as assigned by the Executive Director working with various Sinai personnel in order to further the internal initiatives of the Executive Director.
  • Work closely with the Executive Director to ensure that specific communications are handled in a timely and accurate manner and that various meetings involving the Board of Directors and the wider community are well planned and efficiently managed.
  • An important First Point of Contact with families, Board Members, vendors, the Jewish Community and the general public; Present a pleasant, warm, friendly “welcome” persona.


  • Represent the Executive Director when assigned by the Director regarding various internal functions, working with all personnel
  • Communicate to Board Members regarding regular Board and Committee Meetings and coordinate catering and internal meeting logistics.
  • Coordinate all aspects of the Annual Meeting and Zayin Adar, mailings, attachments, roster of attendees, catering, outside contracts and other logistics
  • Process credit card payments
  • Communicate with ClearPoint Federal Bank & Trust, National Guardian Life Insurance, trust and policy holders
  • Various communications and applications regarding donations and grants
  • Various postal duties
  • Prepare weekly Mourner Care spreadsheets for Mourner Care counselors
  • With other staff, responsible for answering phones, answering callers’ questions, taking messages, locating personnel for critical calls, and forwarding callers to voice mail
  • Other tasks as required

MINIMUM REQUIREMENTS: (Including education, experience, special skills, licenses or certifications required)

  • Excellent customer service skills
  • High level of attention to detail
  • Professional attitude and appearance
  • Education: High school degree or equivalent required; college degree highly desirable

ESSENTIAL MENTAL/PHYSICAL FUNCTIONS: (Including requirements for lifting, standing, sitting, walking, carrying, etc.)

  • Ability to represent Sinai’s values and principles as a first communicator with grieving family members, and sensitivity to the toll that grief exacts upon grieving families and friends
  • Ability to lift up to 50 lbs. without assistance
  • Ability to operate standard office equipment: computers, printers, copy machines, phone systems, cell phones and other communication devices
